Payment & Cancellation Policy

Effective Date: September 3, 2026

This Payment & Cancellation Policy describes the general payment, cancellation, and refund practices of Athena & Acre LLC ("Athena & Acre").

Specific payment obligations are governed by each customer's applicable written agreement. If this policy conflicts with an executed written agreement, the executed written agreement will control.

Monthly Site-Access Fees

Unless otherwise stated in an applicable written agreement, monthly site-access fees are payable in advance of the applicable operating month.

Payment provides the operator with the site-access rights and related services described in the applicable written agreement, subject to its terms and conditions.

Electronic Payments

Athena & Acre may accept electronic payments, including ACH bank debits, through third-party payment processors.

When an operator provides payment information and separately authorizes recurring or scheduled ACH debits, Athena & Acre or its authorized payment processor may initiate payments in accordance with that authorization and the applicable written agreement.

Operators are responsible for maintaining valid payment information and sufficient funds for amounts properly due.

Recurring Payments

Where recurring ACH authorization has been provided, monthly payments may be initiated automatically according to the payment schedule established in the applicable written agreement.

Authorization to initiate electronic payments does not modify the amount, due date, termination rights, or other obligations contained in the applicable written agreement.

Cancellation of Site Access

Unless a different period is specified in an applicable written agreement, either party may terminate a month-to-month site-access arrangement by providing at least 10 days' written notice.

Termination becomes effective in accordance with the applicable written agreement.

Cancellation or termination does not relieve an operator of payment obligations already incurred.

Refunds

Monthly site-access fees are paid in advance and reserve access for the applicable monthly period.

Once an applicable monthly operating period has begun, prepaid monthly site-access fees are non-refundable, including when an operator voluntarily stops operating or terminates its arrangement before the end of that month, unless otherwise expressly required by the applicable written agreement or applicable law.

Payments made in error, duplicate payments, or other circumstances warranting correction will be reviewed individually.

Any approved refund will generally be returned to the original payment method. Processing times may vary depending upon the payment provider and financial institution.

Security Deposits

Refundable security deposits, if required, are separate from monthly site-access fees.

Security deposits will be handled according to the applicable written agreement and are not considered non-refundable monthly site-access fees solely by virtue of this policy.

Athena & Acre may apply a security deposit to amounts properly chargeable against the deposit when permitted by the applicable written agreement.

Failed or Returned Payments

Operators are responsible for maintaining sufficient funds and accurate payment information.

Returned, rejected, or failed payments remain due and may be subject to fees or remedies expressly provided in the applicable written agreement.

Location Availability

Site-access arrangements may be subject to circumstances affecting continued access to the underlying property.

Any rights concerning relocation, termination, refunds, credits, or other remedies resulting from loss of site availability are governed by the applicable written agreement.

Payment Questions or Disputes

Operators should contact Athena & Acre promptly if they believe a payment was processed incorrectly or have a question regarding an invoice or ACH debit.

Policy Changes

Athena & Acre may update this general policy from time to time.

Changes to this website policy do not amend the payment obligations contained in an existing executed agreement unless expressly agreed to in accordance with that agreement.
